Accounting Assistant II    

FLSA Status:  Non-Exempt, hourly

Location: Centennial, CO

General Job Description

The Accounting Assistant II supports the department manager/executive and department projects while implementing measures to increase the company’s effectiveness and efficiency.

Self-sufficient ability with ongoing oversight and training to complete regular tasks, assigned to one or two functions (such as AP, and vendor insurance)

Job Specific Responsibilities

 

>  Manager provides daily instruction for administrative tasks
>  Assist in maintaining organized finance files
>  Ad hoc reporting as required
>  Work with confidential data, which if disclosed, may have significant consequences
>  Various accounting projects as assigned based on business needs
>  Enter vendor invoices
>  Cross review/audit peer AP batches before posting
>  Research and process vendor (non-subcontract) claims for invoice payments, disputes, and statements. Research PO documents
>  Compile, sort and organize documents
>  Assist in maintaining organized finance files in archive room
>  Compliance with use tax rules established by Accounting Supervisor and assisting with audits
>  Compile basic project reporting, typically, pulling invoices for a GMP project
>  Vendor insurance certificates

Qualifications/Skills

Required

>  High school diploma or equivalent
>  1-2 years experience in general administrative work or accounting
>  Proficient in MS Office products and ability to learn Microsoft Dynamics SL and affiliated software
>  Organized, detailed-oriented and professional. Especially within MS Outlook and management of email
>  Efficient typing skills, WPM and 10-key
>  Capable of accurate data entry
>  Able to use office equipment such as computer terminal, calculator, copier and fax machine
>  Effective time management
>  Critical thinking and ability to troubleshoot/problem solve
>  Must be honest and transparent with team and manager
>  Cooperates and collaborates with other staff
>  Proactive, able to set priorities, good with meeting deadlines
>  Willing to be “hands on” with all aspects of accounting and finance
>  Possess strong written and verbal communication skills, and be timely with responses
>  Possess strong interpersonal skills in order to work in a diverse, dynamic and fast-paced environment
>  Self-motivated and flexible to accommodate changes in Weifield Group’s business strategies
>  Accountable for personal actions as well as department decisions and actions

Preferred

>  Associates/Bachelor’s degree
>  1-2 years Accounts Payable experience

Reporting

The Accounting Assistant reports to the AP Supervisor.  Cross supervision by PR Manager for payroll-related tasks.

Measurements

The Accounting Assistant’s success is measured by the following criteria:

Accounts Payable measurements:
>  Quantity and Quality of AP entry
>  Timely entry of AP entry to meet payment requirements and capitalize on discounts
>  Ability to meet month end deadlines to allow for successful financial reporting
>  Timely resolution of problem invoices
>  Avoidance of vendor accounts from being placed on hold by successful management of statement reviews
>  Quantity of lien waivers management
>  Rejected/accepted CPR reports

In addition, everyone’s success in the accounting department is measured by the following criteria:

>  Assist with development of processes and tools that streamline operations and control costs
>  Able to bring answers to the table and implement solutions quickly
>  Quarterly conversation meetings
>  Yearly evaluation

Working Conditions

Compensation Package

>  Start Date: ASAP
>  Status: Full-time
>  Pay Rate: $17-20/hour
>  Employee & Family Health Insurance: 100% of the Family medical “Base Plan” paid by WGC 1st of the month following date of hire
>  Voluntary Dental/Vision Insurance: Paid by employee based on coverage selection 1st of the month following date of hire
>  Disability & Accident Insurance: Paid by employee based on coverage selection 1st of the month following date of hire
>  Life Insurance: Paid by company at rate of $50,000 policy, 1st of the month following date of hire
>  EAP: Provided by Mines and Associates on behalf of Weifield Group
>  PTO: 10 days annually, accrual begins upon hire date. First year accrual is prorated based on hire date and may not accrue the full 10 days in year one.
>  Paid Holidays: Seven paid holidays per year
>  401k/Safe Harbor: Participate after 60 days. Weifield matches 100% of investment up to 4% after one year of consistent employment.
>  Background Check Required: Yes

>  Working Hours: M-Th 7am-5pm, Friday 7am-3pm
